Privacy Policy

This policy explains how we handle your personal information when you use this website, book a call, become a customer, or interact with our AI tools. It also explains, openly, how we use information to operate, improve, research and train our artificial-intelligence systems, and the choices you have. We handle your information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
1. Who we are
This website and the services described on it are operated by Tradie Buddy AI (ABN 13 220 178 522), a sole trader based in Australia ("we", "us", "our"). We provide AI consulting, custom AI builds and automation, and a connected business-intelligence service ("the Centralised Brain") to Australian trade businesses. 2. What we collect
We collect personal information that is reasonably necessary for our functions and activities:
Information you give us
- Enquiry and booking details you submit through the form: your name, business name, trade, phone number, email address, and anything you write in the message field.
- The content of your communications and interactions with us, including emails, messages, the notes and recordings of discovery or strategy calls (where you are told a call is being recorded), and the questions and inputs you provide to our AI tools.
- Customer and engagement information if you become a client, as needed to scope, quote, schedule, deliver and support the services you ask us to build.
- Referral program details if you take part in our referral program: your contact details when you create a referral link, and, only when a referral fee becomes payable to you, your bank details (account name, BSB and account number) and a tax declaration or ABN so we can pay you. See our Referral Program Terms.
Information we collect automatically
- Technical and usage information: the pages you view, the website that referred you, campaign tags (UTM parameters), your approximate country, your browser and device type, and a one-way hashed version of your IP address (we do not store your raw IP).
We do not seek to collect sensitive information (such as health, racial or political information) through this site. If you choose to include it in a free-text field, you consent to us handling it for the purpose you provided it.
3. Why we collect it and how we use it
- To respond to your enquiry and arrange your discovery or growth-plan call.
- To provide, quote, schedule, deliver and support our services if you become a customer.
- To operate, secure, troubleshoot, analyse and improve our website and services.
- To develop, test, research and train our AI systems and features (see section 5).
- Where you have opted in, to send you helpful updates and offers (you can opt out at any time).
- To run our referral program and pay referral fees, if you take part.
- To meet our legal, tax and record-keeping obligations.
We only collect what we need for these purposes. Responding to an enquiry you submit is on the basis that you have asked us to contact you about it.
4. Marketing and consent
We will only send you marketing messages where you have given us consent (for example, by ticking the optional box on the form) or where the law otherwise allows it. Every marketing message includes an easy way to unsubscribe, and you can opt out at any time by using that link or by emailing us. We honour the Spam Act 2003 and the Do Not Call Register for any calls.
5. Using information to improve, research and train our AI
Our services are built on AI systems, and we work to make them more accurate, useful and safe over time. Being open about this is important to us, so here is exactly how it works.
We may use the information we collect, including the content of your enquiries, your communications with us, and your interactions with our website and AI tools, to:
- operate, monitor, secure, test, troubleshoot and improve our services;
- develop, evaluate, fine-tune and train our own AI models, features and automations; and
- carry out research, analysis and product development.
How we do this responsibly:
- We de-identify or aggregate information wherever practicable before using it for research, development or training, so it can no longer reasonably identify you. De-identified and aggregated information is not personal information and may be used and retained to improve our services.
- We do not use sensitive information to train our AI without your consent.
- Where we use information that can still identify you to develop or train our AI, we rely on your consent or, where the law allows, on a use you would reasonably expect that is related to why we collected it.
- We do not sell your personal information, and we do not provide it to unrelated third parties to train AI systems for their own purposes.
Your choice. If you would prefer that we do not use information that identifies you to develop or train our AI, email us at mitch@tradiebuddyai.com and we will action it. Opting out will not affect the service we provide you. It will not require us to undo training already completed or to stop using de-identified or aggregated information.
6. Information we handle for our business clients (the Brain and connected tools)
When we deliver services to a trade business, we may process personal information about that business's own customers on the business's behalf, through connected systems (such as their job-management and accounting software) and our Centralised Brain. For that information:
- the trade business is responsible for how that information is collected and used, and we act under our agreement with them;
- we keep each client's information strictly separated and use it only to provide that client's services;
- we only use such information to develop or train our AI in de-identified or aggregated form, and only where our written agreement with that business permits it; and
- we store it in approved, access-controlled, Australian-resident systems.
If you are a customer of one of our clients and have a privacy question, please contact that business in the first instance; we will support them in responding.
7. Automated decisions and AI
We use AI and automation to help run our services, for example to triage enquiries, draft responses, surface insights and prepare analysis. We do not use solely automated processing to make decisions that produce a legal or similarly significant effect on you without human involvement. If this changes, we will update this policy to explain how the automated decision-making works and how you can request human review.
8. Who we share it with
We do not sell your personal information. We share it only with the service providers we use to run our business and this site, under contracts that require them to protect it and use it only for the services they provide to us:

We may also disclose information where required or authorised by law, or to protect our rights, safety or property.
If you take part in our referral program, your bank details are used solely to pay your referral fee by EFT through our bank; we do not sell or share them, and we do not use them for marketing.
9. Overseas disclosure
Some of the providers above may store or process your information outside Australia (including in the United States). Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the APPs, including through contractual protections. By using this site or our services, you acknowledge that your information may be handled in these locations.
10. Cookies and analytics
This site uses cookies and similar technologies for essential functions, analytics and, where you consent, advertising measurement. You can control or refuse cookies through your browser settings or any consent controls we provide. Disabling cookies may affect some features. Advertising and measurement cookies (such as the Meta pixel) are only used where you have consented.
11. How we store and protect it
Your enquiry details are stored in our database, hosted in Australia (Cloudflare's Oceania region), with access restricted to us. We take reasonable technical and organisational steps to protect your information from misuse, interference, loss, and unauthorised access, modification or disclosure, including hashing IP addresses and limiting who can access raw data. No method of transmission or storage is completely secure, but we work to keep your information safe and to respond promptly to any issue, consistent with the Notifiable Data Breaches scheme.
Referral-program bank details are held in an access-controlled, Australian-resident store and are kept encrypted, separate from other records, and used only to pay you.
12. How long we keep it
We keep your personal information only for as long as we need it for the purposes in this policy, or as required by law (for example, tax and business records), after which we delete or de-identify it. Referral-program payment records (including the bank details and tax declaration used to pay a fee) are kept for the period required for tax and business record-keeping, generally five years, and then deleted. De-identified and aggregated information derived from your data may be retained to keep improving our services.
13. Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email mitch@tradiebuddyai.com and we will respond within a reasonable time. There are limited situations where we cannot fully action a request (for example, where we must keep records by law); if so, we will explain why.
14. Children
Our services are for businesses and are not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.
15. Complaints
If you have a concern about how we have handled your personal information, please contact us first at mitch@tradiebuddyai.com so we can try to resolve it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
16. Changes to this policy
We may update this policy from time to time. The "last updated" date above shows when it was last changed. Where changes are significant, we will take reasonable steps to let you know. Please check back occasionally.
