This policy explains how we handle your personal information when you use this website, book a call, become a customer, or interact with our AI tools. It also explains, openly, how we use information to operate, improve, research and train our artificial-intelligence systems, and the choices you have. We handle your information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

1. Who we are

This website and the services described on it are operated by Tradie Buddy AI (ABN 13 220 178 522), a sole trader based in Australia ("we", "us", "our"). We provide AI consulting, custom AI builds and automation, and a connected business-intelligence service ("the Centralised Brain") to Australian trade businesses. 2. What we collect

We collect personal information that is reasonably necessary for our functions and activities:

We do not seek to collect sensitive information (such as health, racial or political information) through this site. If you choose to include it in a free-text field, you consent to us handling it for the purpose you provided it.

3. Why we collect it and how we use it

We only collect what we need for these purposes. Responding to an enquiry you submit is on the basis that you have asked us to contact you about it.

4. Marketing and consent

We will only send you marketing messages where you have given us consent (for example, by ticking the optional box on the form) or where the law otherwise allows it. Every marketing message includes an easy way to unsubscribe, and you can opt out at any time by using that link or by emailing us. We honour the Spam Act 2003 and the Do Not Call Register for any calls.

5. Using information to improve, research and train our AI

Our services are built on AI systems, and we work to make them more accurate, useful and safe over time. Being open about this is important to us, so here is exactly how it works.

Opting out will not affect the service we provide you. It will not require us to undo training already completed or to stop using de-identified or aggregated information.

6. Information we handle for our business clients (the Brain and connected tools)

When we deliver services to a trade business, we may process personal information about that business's own customers on the business's behalf, through connected systems (such as their job-management and accounting software) and our Centralised Brain. For that information:

7. Automated decisions and AI

We use AI and automation to help run our services, for example to triage enquiries, draft responses, surface insights and prepare analysis. We do not use solely automated processing to make decisions that produce a legal or similarly significant effect on you without human involvement. If this changes, we will update this policy to explain how the automated decision-making works and how you can request human review.

8. Who we share it with

We do not sell your personal information. We share it only with the service providers we use to run our business and this site, under contracts that require them to protect it and use it only for the services they provide to us:

We may also disclose information where required or authorised by law, or to protect our rights, safety or property.

If you take part in our referral program, your bank details are used solely to pay your referral fee by EFT through our bank; we do not sell or share them, and we do not use them for marketing.

9. Overseas disclosure

Some of the providers above may store or process your information outside Australia (including in the United States). Before disclosing personal information overseas, we take reasonable steps to ensure the recipient handles it consistently with the APPs, including through contractual protections. By using this site or our services, you acknowledge that your information may be handled in these locations.

10. Cookies and analytics

This site uses cookies and similar technologies for essential functions, analytics and, where you consent, advertising measurement. You can control or refuse cookies through your browser settings or any consent controls we provide. Disabling cookies may affect some features. Advertising and measurement cookies (such as the Meta pixel) are only used where you have consented.

11. How we store and protect it

Your enquiry details are stored in our database, hosted in Australia (Cloudflare's Oceania region), with access restricted to us. We take reasonable technical and organisational steps to protect your information from misuse, interference, loss, and unauthorised access, modification or disclosure, including hashing IP addresses and limiting who can access raw data. No method of transmission or storage is completely secure, but we work to keep your information safe and to respond promptly to any issue, consistent with the Notifiable Data Breaches scheme.

Referral-program bank details are held in an access-controlled, Australian-resident store and are kept encrypted, separate from other records, and used only to pay you.

12. How long we keep it

We keep your personal information only for as long as we need it for the purposes in this policy, or as required by law (for example, tax and business records), after which we delete or de-identify it. Referral-program payment records (including the bank details and tax declaration used to pay a fee) are kept for the period required for tax and business record-keeping, generally five years, and then deleted. De-identified and aggregated information derived from your data may be retained to keep improving our services.

13. Accessing and correcting your information

You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it. Email mitch@tradiebuddyai.com and we will respond within a reasonable time. There are limited situations where we cannot fully action a request (for example, where we must keep records by law); if so, we will explain why.

14. Children

Our services are for businesses and are not directed at children. We do not knowingly collect personal information from anyone under 18. If you believe a child has provided us information, contact us and we will delete it.

15. Complaints

If you have a concern about how we have handled your personal information, please contact us first at mitch@tradiebuddyai.com so we can try to resolve it. If you are not satisfied, you can contact the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

16. Changes to this policy

We may update this policy from time to time. The "last updated" date above shows when it was last changed. Where changes are significant, we will take reasonable steps to let you know. Please check back occasionally.
